A Risk Adverse Client – IUGG2011

Our client for the XXV International Union of Geodesy and Geophysics General Assembly held in Melbourne in 2011 (3,444 delegates attended) was a group of individuals who formed a company and were therefore very risk adverse as they carried the financial liability if these conference made a loss. We worked with the client in a number of ways to reduce their exposure to risk including:

  • Our budgeting (and our minimum fee) were based on very conservative numbers and included initially only the basic and essentials
  • We had in place a “wish list” so as the delegate numbers came in, we were able to add more line items and budget costs.
  • We constantly reviewed the budget review and kept a close eye on key indicators including website hits, abstracts, Early Bird, past statistics) so we had realistic knowledge for accurate forecasting
  • We contracted to the budget so the committee weren’t given any surprises
